E-Signature Sign & Checkout
Sign & Checkout is the bridge between a sent order and a live contract. Send the order out for e-signature, watch the envelope's status, capture the executed document, and countersign: the contract is created right there, with no re-keying between the deal and the ledger.
Availability: the Sign & Checkout screen is currently hidden. It no longer appears in the Order to Cash sidebar, because the Orders tab already covers sending an order and countersigning it (Countersign accepts an optional executed-contract file). The e-signature endpoints stay available through the API. The steps below describe the Sign & Checkout screen when it is switched on.
Key capabilities
- Send for e-signature from the order: emails the order to the customer contact; when they sign, the order is marked signed automatically
- Envelope status chip with a Refresh button, a "Sent for e-signature" timestamp, and a clear message when the signer declines
- Send reminder to signer, limited to one reminder per 24 hours and only while a signature is outstanding (the order is Sent or Signed)
- Executed contract: Upload executed PDF (PDF, up to 250 MB) or paste a file URL, for orders signed offline or in another tool; it attaches to the order and carries into the contract
- Progress steps: Sent, Customer signed, Countersigned, Active contract
- Mark countersigned → activate contract creates the live contract and freezes the order
- Force finish → activate contract records the remaining steps for an order signed outside the app
- The list shows how long each order has waited on its current step
How to use it
- Open the order in Sign & Checkout. The Signature status panel shows which side the deal is waiting on.
- Click Send for e-signature. If the order has no attached file or pasted URL, you pick the order PDF to upload. If e-signature is not configured for the workspace, the panel says so and you use the manual route below.
- Click Refresh to pull the latest envelope status. If the signer declines, fix the order and send a new envelope.
- If the signer stalls, click Send reminder to signer (the button is disabled during the 24-hour cooldown).
- For a contract signed offline or in another tool, click Upload executed PDF or paste its URL under Or paste a file URL.
- Once the customer has signed, click Mark countersigned → activate contract. The order is frozen and the live contract starts its billing lifecycle. Use Force finish only when the order was signed outside the app and never reached the Signed step.
Limits and notes
- Countersigning needs a signed order; the button is disabled until then.
- E-signature requires one-time workspace configuration. Without it you can still upload executed contracts and countersign manually.
- Once the contract is active, the upload and countersign controls are locked.
