Trial Balance
The Trial Balance lists every general ledger account with its debit or credit balance as of a single date. Use it to confirm your books balance before close and to spot accounts that need attention.
Key capabilities
- As-of-date picker with Today, Month End, Quarter End, and Year End presets
- One list sorted by account type (Assets, Liabilities, Equity, Revenue, Expenses), then name, with Type, Debit, and Credit columns
- Totals row, plus a banner showing Total Debits and Total Credits
- Banner states Trial balance is balanced (debits = credits) or Out of balance by the difference
- Hide Empty Rows toggle (on by default) to drop zero-balance accounts
- Excel and CSV export of the current view
- Follows the sidebar Accrual books / Cash books switch
- Full export link to the Trial Balance report in Report Library; the Aged Trial Balance is in the same category
How it works
DayZero sums each account's posted journal activity through the as-of date and presents the net debit or credit balance. A balanced trial balance means total debits equal total credits — a fundamental integrity check.
How to use it
- Open Trial Balance from Reports in the sidebar.
- Set the as-of date (defaults to today) and click Refresh.
- Hide Empty Rows is on by default; untick it to list every account.
- Scan the balance banner — a check mark when debits equal credits, a warning with the difference when they do not.
- Click Excel or CSV to export for your workpapers or client package.
- For a date-range version or the aged view, use Full export or open Report Library.
Pro tips
- Run trial balance on the last day of the month before you lock the period — an imbalance usually means a one-sided or mis-posted entry.
- Hide Empty Rows keeps the list short once your chart of accounts grows.
- Export before close and attach to your month-end binder for audit trail.
- An unbalanced trial balance often traces to a single journal entry — check recent manual entries and integration syncs.
- Need a formatted PDF or email delivery? Use the Trial Balance report in Report Library for async export.
In-depth guide
Reading the columns
Each row shows the account name, type, and either a debit balance or credit balance (not both). On Cash books the same check applies; receivables and payables net to zero, and a pill beside the date shows which basis you are viewing. Asset and expense accounts normally carry debit balances; liability, equity, and revenue accounts normally carry credit balances.
