Dashboards

Dashboards are saved, live views of your books made of charts, tables, and single-number metrics. You describe what you want to Regent, and DayZero builds it and keeps it ready to open, share, export, and refresh.

Key capabilities

  • Build a dashboard by asking Regent (AI Assistant), or add any chart or table from a chat reply with Add to dashboard
  • Import model turns an Excel workbook you already maintain into a live model that reads from your books
  • Up to 24 widgets per dashboard: charts, tables, and metrics, on a responsive grid
  • Schedule a background refresh hourly, daily, weekly, or monthly so numbers are current when someone opens it
  • Share a read-only link that works without a DayZero account, with an expiry you choose and the option to revoke it
  • Assign a dashboard to specific teammates, to everyone in the business, or keep it private
  • History keeps up to 25 saved versions you can restore
  • Export to an Excel workbook (one tab per widget), CSV, or PDF
  • Alert me on any metric widget to get an inbox notification when it crosses a threshold
  • Requires the AI Pro add-on (Feature Add-ons)

How it works

Each widget stores a saved copy of its data from the last refresh, so dashboards open instantly and shares, exports, and alerts all use the same numbers. Refresh keeps that copy current.

How to use it

  1. Open Dashboards. The list shows each dashboard with its widget count, who can see it (Private, Assigned, or Everyone), and its creation date.
  2. Click New dashboard. Regent opens with a starter prompt; say which metrics you want, for example AR aging, cash position, or top expenses.
  3. Open a card to see the widgets. To add another, ask for a chart or table in chat and click Add to dashboard on it. Pick an existing dashboard or New dashboard, and give the widget a title.
  4. For a spreadsheet model, click Import model, choose an .xlsx or .xlsm file, optionally name it, and click Import and review. Nothing is saved until you review the plan and build it.
  5. Click Schedule, leave Enabled ticked, pick how often (and the day, time, and timezone), and click Create schedule.
  6. Click Share, pick when the link expires (24 hours, 7 days, 30 days, 90 days, or never), click Create link, and copy it right away.
  7. Click Assign to choose Private, Assigned users, or Everyone; for Assigned users, tick the teammates.
  8. Click Export and pick Excel workbook, CSV, or PDF. The file is prepared in the background and reflects the data as last refreshed.

Pro tips

  • Name widgets clearly when you add them; the title is what teammates and shared viewers see.
  • Create a schedule for any dashboard you share, or the shared numbers go stale.
  • Use History to save a version before big changes. Versions are only created when you click Save version, so edits and refreshes do not add entries.
  • Restoring a version first saves the current state as a new version, so you can undo a restore.
  • Charts export as the data behind them, not as pictures.
  • To set an alert, click the bell on a metric widget, choose Drops below or Rises above, and set how often to check (hourly, daily, or weekly). Thresholds use raw values, so money is in cents (5000000 means $50,000).

In-depth guide

Who can do what

Everyone who can see a dashboard can open it, export it, and read its history. The creator and business owners and admins can also share, schedule, assign, remove widgets, restore versions, and delete. Delete and removing a widget from a shared dashboard remove it for everyone, so you are asked to confirm. A scheduled refresh runs with your permissions.

Share links

Anyone with a link sees the dashboard read-only, as of the last refresh. Widget sources, refresh errors, and teammate names are hidden. A link is shown once when you create it; later you can only see its status (Active, Expired, or Revoked), view count, and expiry. Click the trash icon to Revoke a link and cut off access immediately.

Models

A model is a dashboard whose widgets are spreadsheet-style sheets. After importing, the review shows how much of the workbook was translated and warns about formulas that could not be translated (those rows build empty), sheets skipped because they only held raw data, and rows that match no account in your chart of accounts (they build as zeros). Large workbooks are accepted up to 75 MB.

Editors see Refresh model, which recalculates every sheet from current ledger data together so subtotals stay consistent. Regent's model card offers Open model and Download Excel, a workbook with live formulas.

Limits worth knowing

Each widget keeps its first 200 rows, with a note when it is cut short. Only the 25 most recent versions are kept; the oldest are pruned. Each dashboard has one refresh schedule, and a failed run shows its last error in the Schedule window.
