Shopify & Square Order Detail
Shopify and Square post one summary entry per day or per payout instead of one per sale, so your books stay short. These two detail pages are the other half: they list every order, payment, refund, and payout that rolled into those entries, so you can answer "what is in this entry?" and confirm each payout reached the bank.
Key capabilities
- Overview banner with the store or merchant, posting mode, record counts, and payouts waiting to post or match
- Payouts with the orders and fees that make up each one, and a link to the journal entry it posted as
- Shopify Orders filtered by date range, status, or the summary entry that rolled them up, with line items, SKUs, discounts, tax, and cost of goods
- Shopify Customers roll-up with order count and lifetime value, searchable by email
- Daily summaries (Shopify in daily summary mode, and always on Square) with gross, net, tax, fees, refunds, and a link to the posted entry
- Square Payments (tender, tip, tax, fee, net) and Refunds (tender and reason)
- A warning when the clearing account (Shopify Merchant Account or Square Clearing) holds a balance
- Square posting settings for the day-close time zone, posting hour, and start date
How it works
Orders and payments sync from the sales channel and are rolled up into summary entries. Card sales sit in a clearing account until the matching payout arrives in your bank feed, which then clears them.

- Connect your store on Integrations. Then open the Shopify or Square card and use the button that opens its detail page, or go straight to Shopify detail or Square detail.
- Read the Overview banner. A yellow chip means payouts are pending (Shopify: "pending post"; Square: "awaiting bank match"). Green means all are posted or matched.
- Open Payouts and expand a row to see its balance transactions (amount, fee, net) and the orders it covers. Shopify shows JE created or Pending; Square shows the bank match.
- To audit one entry, open Orders (Shopify) or Payments (Square). On Shopify, set dates and All statuses (Paid, Pending, Refunded, Voided), or follow a JE link to filter to that entry. Expand an order for its line items.
- On Shopify, if the Catch up summary postings panel appears, click Queue next 50 until it reports completion.
- On Square, open Settings, set the day-close time zone, the Summary posts at hour, and an optional Posting start date, then Save changes.
- Click JE on any row to open the journal entry in the books. Use Refresh to reload.
Pro tips
- Start with the clearing balance. Under about a dollar is shown as reconciled; a larger one means a payout or deposit has not matched yet.
- Connect your bank (see Integrations): Square payouts clear automatically only when the deposit shows in the bank feed.
- Use the customer roll-up for customer analysis instead of reading summary entries.
- On Shopify, Per payout posting keeps each entry equal to one bank deposit.
- Set a posting start date so partial-year history does not create entries you do not want.
In-depth guide
Shopify and Square compared
| Shopify | Square | |
|---|---|---|
| Entry cadence | Daily summary or per payout | One per location per day |
| Tabs | Overview, Payouts, Orders, Customers, Daily summaries (daily mode only) | Overview, Daily summaries, Payments, Refunds, Payouts, Settings |
| Clearing account | Shopify Merchant Account | Square Clearing |
| Posting settings | On the Shopify card | Settings tab |
Refunds, fees, and missing items
Refunds net into the daily summary as contra-revenue. Shopify payout detail may show "No orders linked to this payout yet"; Shopify sometimes links them hours later. A line item with no variant link usually sold before the catalog finished syncing.
Permissions
Anyone who can view the business can read these pages. Saving Square settings and running the Shopify catch-up change your books, so they need write access. The pages work only while the store is connected; disconnecting can remove synced detail, as the disconnect screen explains.
