Order to Cash Reports

The Reports page gives you downloadable files for your contract book. Use them for month-end review, audit support, and sharing contract data with people who do not use DayZero.

Key capabilities

  • Five reports, each with a CSV and an XLSX (Excel) download button: Contract register, AR aging, Deferred revenue waterfall, Hours ledger, and Billing schedule
  • Dollar amounts are exported as dollars (not cents), and dates as plain dates, so files open cleanly in Excel or Google Sheets
  • The Excel version of the Contract register adds a second sheet, Linked Invoices, listing every invoice tied to a contract
  • Files are named with the report, your business name, and today's date
  • Every download is recorded in the audit log
  • The same CSV files are also available from the Export reports panel on the Overview

How it works

Each report is built fresh when you click, from the live contract, invoice, hours, and revenue schedule data in your books. There are no filters or date ranges: each report covers the whole business as of today.

What each report contains

  • Contract register: one row per contract with Contract Number, Customer, Project Name and Code, Status, Original Value, Current Value, Billed, Earned, Deferred Remaining, First Invoice Date, and End Date.
  • AR aging: one row per open or partially paid contract invoice with Invoice Number, Customer, Contract, Due Date, Days Overdue, Balance, and Bucket (Current, 1-30, 31-60, 61-90, 90+).
  • Deferred revenue waterfall: one row per contract showing Booked, Recognized, and Remaining revenue from its revenue schedule.
  • Hours ledger: one row per approved hours entry with Contract, Order Line, Hours, Entry Date, Submitted By, Approved By, and Approved At.
  • Billing schedule: expected invoices for each contract line, built from the order's billing rules, with Contract, Customer, Order Line, Billing Rule, Billing Date, Period, and Expected Amount.

How to use it

  1. Open Reports in the Order to Cash workspace.
  2. Find the report you need and click CSV for a plain file or XLSX for a formatted Excel workbook.
  3. Wait for the download to finish. A confirmation appears when the file is ready; only one download runs at a time.
  4. Open the file. If you need a subset, filter it in your spreadsheet; the report itself always covers every contract.

Pro tips

  • At close, download the Deferred revenue waterfall and compare its Remaining total with the deferred revenue account on your balance sheet. A gap points you to the contract to investigate.
  • Use the Contract register Excel file when an auditor asks for a contract list; the Linked Invoices sheet saves a second export.
  • The Billing schedule is a projection from billing rules, so it shows what should bill, not what has been invoiced. Compare it with Scheduled Invoices for what is actually queued.
  • The Hours ledger lists approved hours only. Pending hours stay in Hours Approval until someone approves them.
  • Save downloads with the date in the name so month-end snapshots stay comparable.

In-depth guide

Earned and deferred. In the register, Billed is what you have invoiced, Earned is what has been recognized as revenue, and Deferred Remaining is the billed amount not yet earned. The waterfall reads from the revenue schedule instead, so it can differ from the register when a contract has no schedule rows yet. Revenue Schedules explains how the two relate.

AR aging versus Collections. This is the same data shown in Collections (Order to Cash), which also lets you send reminders. It covers contract invoices only; for aging across every invoice, use the AR aging view described in Invoices.

Contracts and orders. Contract figures come from Customer Contracts; the billing rules behind the schedule are set on each line in Sales Orders. Change orders that adjust value are reflected in Current Value, while Original Value stays as first signed (see Change Orders).
