Products & Services

Products & Services is your price list: a catalog of the services and items you sell, each with a default price, description and income account. Pick an item on an invoice or order and the line fills itself in, so pricing stays consistent and revenue lands in the right account.

Key capabilities

  • Four item types: Service, Non-inventory, Inventory and Bundle (a package that expands into several items)
  • Default Sales price (up to four decimal places, handy for per-unit rates like $0.0525), optional Purchase cost, SKU, unit label and line description
  • A Billing rule per item: Flat, Per unit, Recurring, Usage metered or Prepaid block
  • Income account and Expense account pickers so sales and purchases post to the right accounts
  • A Taxable flag for items that are taxable by default
  • Package components: define which items, and how many of each, a Bundle contains
  • Search by name or SKU, saved views, and Active / Inactive status on every row

How it works

The catalog is a shortcut layer. Nothing posts when you create an item; the item only supplies defaults when you use it on a document.

  item["Catalog item"] --> inv["Invoice line"]
  item --> ord["Order line"]
  bundle["Bundle"] --> comps["Component items"]

  inv --> income["Income account"]

Invoice lines copy the item's name, SKU and price. Order lines also copy its billing rule, and a Bundle added to an order becomes one line per component.

How to use it

  1. Open Products & Services and click Add item.
  2. Enter a Name and choose a Type (Service is the default). Add a SKU, a Unit label such as "hour", and a default Description if you like.
  3. Choose a Billing rule and enter the Sales price. Add a Purchase cost if you buy the item.
  4. Pick an Income account (revenue accounts only) and, if relevant, an Expense account (expense accounts only). Tick Taxable if needed, then save.
  5. To build a package, set the Type to Bundle, then click Manage components on its row, add each item and quantity, and Save.
  6. Create an Invoice and search products & services in the line picker. Choosing an item adds a line with its name, SKU and price, which you can still edit.
  7. On a Sales Order, search the catalog on a line to copy the price and billing rule, or add a whole package to get one line per component.
  8. Use the pencil icon to Edit an item or the trash icon to Deactivate it.

Pro tips

  • Set the Income account on every item. Invoice revenue then lands in the right place without anyone choosing an account per line.
  • Use a Unit label and the Per unit billing rule for hourly or metered work, and use Recurring for subscriptions you will bill on a schedule.
  • Search the catalog before creating an item. Names must be unique among active items, and a duplicate name is rejected.
  • Deactivating hides an item from new documents but keeps it on past invoices and orders. Inactive items stay in the list so you can still open and edit them.
  • Keep packages simple: a Bundle cannot contain another Bundle or itself.
  • The line picker on Recurring Invoices offers inventory products only, so use a regular invoice or an order when you want a catalog item.

In-depth guide

Catalog items vs inventory products

This is not the same list as Products & Variants in Inventory.

Products & Services Products & Variants
Purpose Price list for invoice and order lines Stock-tracked SKUs
Stock levels, locations, reorder points No Yes
Cost lots and COGS No Yes
Best for Consulting, subscriptions, fees, simple goods Physical goods you count and move

An Inventory type item here is only a label for pricing and selling. Stock quantities live in the Inventory workspace. On an invoice, the line picker shows both lists, and catalog items carry no stock or location checks.

Billing rules

Rule Typical use
Flat One fixed charge
Per unit Quantity times price, such as hours or seats
Recurring A charge repeated on a schedule, set up on the order or contract
Usage metered Charged for measured usage
Prepaid block A block of units paid up front and drawn down

Billing rules take effect on Sales Orders and Customer Contracts. On a plain invoice the rule is not applied; only the price and description are copied.

Edge cases

  • Income accounts must be revenue accounts and expense accounts must be expense accounts, or the save is rejected. Manage accounts in the Chart of Accounts.
  • Changing an item's price does not change documents that already used it.
  • The invoice picker only lists active items that are available for sale.
