Business Members
Business Members lists everyone who can work in the business you are in, with their role and the sidebar menu they see. Owners and admins use Settings > Members to change roles, trim a person's menu, or remove someone. It is about one business at a time, unlike Team Members, which manages firm staff across all clients.
Key capabilities
- Table of members with name, email, Role, Sidebar menu, and (for owners and admins) a People switch
- Four roles: Owner, Admin, Member, Viewer, changed from a dropdown
- Customize menu to limit which workspaces and sections one person sees
- Menu summary chip showing "All sections" or the workspaces left on, such as "Accounts Payable +2 more"
- People switch to let a chosen Member or Viewer see the People roster (names, teams, and roles, never pay); owners and admins always see it with pay
- Invite member button for owners and admins
- Remove a person from this business only; their account and other businesses are untouched
- Confirmation before any role change that lowers someone's access
- Firm staff appear with "Via advisory firm" and a Managed by firm link
How it works
Role decides what someone can do. The sidebar menu decides what they see. They are separate settings, so a Member with a trimmed menu still has Member permissions.

menu --> note["Owners and admins always see everything"]How to use it
- Open Settings > Members. Make sure the right business is selected in the sidebar.
- To change a role, pick it from the Role dropdown on the person's row. A change that lowers access asks you to confirm.
- Click Customize menu on a Member or Viewer row. Choose All sections (default) or Custom menu.
- With Custom menu, tick whole workspaces or individual sections, then click Save menu.
- In the People column, switch on the people who should see the roster without pay.
- Click Invite member to bring in a teammate. You choose Admin or Member and the businesses they can reach, the same form as on the Staff page.
- Click the trash icon to remove someone. You cannot remove yourself.
- For a firm staff row, follow Managed by firm to Client Access.
Pro tips
- Give bookkeepers who only handle bills a custom menu with just Accounts Payable; the clutter disappears from their sidebar.
- Use Viewer for people who should look but never change anything, such as a lender or an outside advisor.
- Sections you add to the product later appear automatically for people on All sections, but not for people on a custom menu that does not include that workspace.
- If you clear every box, the person sees only Settings, which always stays available.
- Make a second person an owner before you change your own role. The last owner cannot be demoted or removed.
- A menu is a convenience, not a lock. Use the role to control what someone is allowed to change.
In-depth guide
Roles
| Role | What they can do |
|---|---|
| Owner | Full access, including users and billing; only owners can grant the Owner role |
| Admin | Manage settings and users |
| Member | Read and write business data |
| Viewer | Read-only access |
Only owners and admins can change roles, customize menus, remove people, or invite. Everyone else sees the list and a note saying so.
Business Members versus Staff
| Business Members | Staff | |
|---|---|---|
| Where | Settings > Members, under Business | Settings > Staff, under Team |
| Scope | The current business | The whole firm |
| Roles | Owner, Admin, Member, Viewer | Owner, Admin, Member |
| Reach | Fixed to this business | Members are assigned businesses directly or through teams |
| Menu | Navigation only: it hides sections and redirects away from them, but does not restrict data | A firm-wide menu blocks the sections left off, not just hides them |
| Extras | None | API access switch, invitation tracking, resend and cancel |
Firm staff show here as read-only rows, because their role lives in firm settings and a per-business menu does not apply to them.
What the menu picker offers
The list mirrors the workspace switcher, with each workspace expandable into its sections. Advisory firms also see workspaces that exist only for firms, such as Client and CFO. Settings never appears in the list because it is always available. If you edit your own menu, your sidebar updates immediately.
Edge cases
- Owners and admins show "All sections (owners & admins)" and cannot be filtered.
- Changing your own role to a lower one warns that you will lose the permissions at once.
- A business with no members shows "No members yet" and an invite button.
