AI Assistant
The AI Assistant (named Regent in the app) is a chat that works on your books for you. Ask a question and it looks up the answer, or ask for a change and it shows you exactly what it will do before anything is saved.
Key capabilities
- Answers questions about your live data, such as cash position, unpaid invoices, top expenses, and period comparisons
- Runs reports and exports from the Export hub, and builds charts and Dashboards from the results
- Creates and edits records (transactions, invoices, bills, journal entries, and more) only after you approve
- Reads attached PDFs, images, spreadsheets, and text files, up to 100 files of 250 MB each per message
- Saved conversation history with search, favorites, rename, and delete (with Undo)
- Read-only share links for any conversation, limited to your organization or open to anyone with the link
- Runs your saved Workflows with
!commands, and schedules a prompt to run later - Available as a side panel on every page, as a full-screen chat, or as a section of Books
- Uses your own access: it cannot do anything your account cannot do
How it works
Looking things up needs no approval. Anything that changes your books pauses on an approval card that lists the exact changes.

- Click the sparkle Regent button in the app header (or press Ctrl/Cmd+Shift+A) to open the side panel. Use Open full page for the full-screen chat at AI Assistant, or open the chat section in Books.
- Check the business shown under the title. With several businesses, use the picker to switch; this starts a new conversation.
- Type a question, or pick a starter chip (Cash flow, P&L, Reconcile). Type
!to see workflow commands and/for your saved prompts. - To attach documents, click the paperclip, drag files in, or choose one from Documents. Wait for uploads to finish before sending.
- When an approval card appears, review the changes. Edit values if needed, add an optional note, then click Approve (Approve with edits if you changed something) or Reject.
- Open Conversations (the menu button) to reopen past chats. Filter by All, Favorites, Chat, or Builder, or search titles and message text.
- Click Share conversation, choose Organization only or Anyone with the link, and click Create link.
Pro tips
- Ask in plain business language and name the period or customer; the more specific the question, the fewer follow-ups.
- Turn on Ignore earlier discussion for next message (next to the input box) to ask something unrelated without old context.
- Click the stop button, or press Esc with an empty input, to cancel a reply. Messages you type while it is replying are queued and sent afterward.
- Use Fork thread from this message to branch a conversation. Branches appear nested under the original.
- Pin useful answers with Pinned Messages, or use Add to dashboard on a chart or table to keep it as a widget.
- Use the thumbs up or down on a reply, or Report an issue, to send feedback on a bad answer.
In-depth guide
Approval cards
Cards show the affected records, amounts, and prior values where they exist. Actions that cannot be undone, or that reach outside DayZero such as sending an email, show a warning and need you to tick "I understand this action is irreversible or sends data externally" before Approve works. A card expires after a countdown (30 minutes by default); ask again if it lapses. After you approve, the card links to the records that were created or changed.
The assistant can also queue a change for someone else to review. Those appear in Proposed Changes. Sample (demo) businesses allow questions but not changes.
Who can use it and what it costs
The assistant needs the AI Pro add-on. Business trials and demo businesses include it, and the firm Enterprise tier bundles it for client businesses. Without it, the button explains that AI Pro is required and links to Settings. See Feature Add-ons.
Each plan has a monthly allowance of AI requests: Free 50 and Self-Directed 500, rising to 2,000 with AI Pro. Metered plans bill extra requests by size (light, standard, or heavy); see Available Plans. Firms can also turn on a read-only assistant for client portals; see Client Access Controls.
Pause and resume
The AI usage card at the top of the Dashboard shows requests remaining. Once usage passes 80%, or you are in overage, it offers Pause AI features. A confirmation lists what stops (the assistant, AI category suggestions, document and email extraction, other smart suggestions) and what keeps working (manual bookkeeping, bank rules, standard reports, bank sync). While paused, a banner shows Resume AI; the button on the usage card does the same. People with billing access see the card and banner.
Long-running work
Large jobs finish in the background. The activity icon in the chat header and sidebar counts running jobs; see Background Jobs. Conversations are private to you unless you share a link. Public links hide personal details, and links expire after 30 days.
