Todos

Todos is your own task list inside DayZero for follow-ups, deadlines, and reminders, such as "chase the Acme invoice" or "send the bank statements to the CPA". Each business has its own list for you, and only you see your todos.

Key capabilities

  • Create a todo with a title, an optional due date, a priority (Low, Normal, High, or Urgent), and an optional reminder
  • Mark a todo complete with one click, and reopen it if you finished too soon
  • Edit or delete any todo from its row (deleting asks you to confirm)
  • Filters for Active (the default), Completed, and All
  • Automatic grouping into Overdue, Upcoming (has a due date), and Other (no due date)
  • Priority shown on the title: High is highlighted in amber and Urgent in red
  • A reminder notification when the reminder time arrives, with a link back to your list
  • Ask Regent to create, update, complete, reopen, or delete todos for you
  • Shows up to 100 todos at a time

How it works

A todo stays in your Active list until you complete it. If it has a due date that passes before then, it moves to Overdue. If it has a reminder, DayZero sends you a notification when the time comes, and checks for due reminders every few minutes.

How to use it

  1. Open Todos and click New todo.
  2. Type what needs to get done in Title (required). Optionally set a Due date, a Priority, and a Reminder (a date and time that notifies you).
  3. Click Add. The todo appears under the matching group.
  4. Click the circle on the left of a todo to mark it complete. It moves to Completed. Click the checked circle to mark it incomplete.
  5. Click the pencil to change the title, due date, priority, or reminder, then click Save. Click the trash can to delete it.
  6. Use the Active, Completed, and All buttons to switch what you see.
  7. Or just ask the assistant, for example "Remind me Friday at 9am to review payroll". It shows an approval card first, and the todo is added when you approve.

Pro tips

  • Set a reminder as well as a due date. The due date drives the Overdue group; the reminder is what actually pings you.
  • Reminders arrive in your Notifications inbox. The notification title starts with "Reminder:" and its View Todos action opens the list.
  • Changing a reminder time on an existing todo re-arms it, so you get notified again at the new time.
  • Use High and Urgent sparingly so they stay meaningful at a glance.
  • A todo with no due date lands under Other; add a date to sort it into Upcoming.
  • For notes the whole team should see, use Notes. Todos are private to you.

In-depth guide

Todos versus notes and notifications

Todos are personal: nobody else on the business sees them, and teammates are never notified about yours. Notes are shared with everyone who can access the business and can send a reminder to the team. Notifications are alerts DayZero raises for you; a todo reminder is one of them.

Overdue and dates

A todo becomes overdue when its due date has passed and it is not completed. Completed todos are never overdue. Due dates and reminders are shown in your local time. A reminder is sent once, and not at all for a todo you have already completed; change the reminder time to be notified again.

Working with the assistant

The assistant can list your todos, show one, create, update, complete, reopen, and delete them. Creating or changing a todo asks for your approval, like other changes. Todos the assistant creates can include a longer description, which appears under the title in the list.

Business scope

Your list belongs to the business selected in the app. Switching businesses shows that business's todos for you. Todos from your other businesses are not mixed in.

Empty lists

A new list says "No todos yet" with a New todo button. The Completed filter says "No completed todos" until you check something off, and offers Show active todos to switch back.
