People

One row per person the business pays: W-2 employees, US contractors and offshore contractors. The row holds what was agreed (role, department, manager, status, rate); the figures beside it come from your books. Keep the roster current and headcount, payroll commitment and who-was-paid-what stop living in a spreadsheet.

Key capabilities

  • Roster with department, manager, position, status (Active, New, Notice, Terminated), type and location
  • Pay terms per person: flat monthly rate, or hourly rate with expected hours
  • The name each person is paid under in the books, plus other spellings, so payments match
  • Paid by month from the ledger, beside the agreed rate, with the variance
  • Headcount by status, type and department, and the monthly payroll commitment
  • Terminations view: end date, reason, equipment returned, final pay
  • Import from a spreadsheet with a preview before anything changes
  • Org chart built from each person's manager, with team size and team cost, downloadable as an image or a spreadsheet
  • A People tile on the Daily Brief next to Burn & Runway

How it works

Each person carries the counterparty name used in your books. DayZero sums the bank outflows and split payroll legs under that name (and any other names you list for the person) per calendar month, so "paid last month" is what the ledger says, not a typed figure. The agreed rate gives the monthly commitment; the two together give the variance and what is still owed.

When the Gusto reconciliation runs, payees on the payroll register are matched to roster rows by name or alias before anything new is created, so one person stays one row even when Gusto spells the name differently.

Pay is the most sensitive data in the app. Owners and admins (of the business or its advisory firm) see the whole roster, pay included, and are the only ones who change it. Anyone else sees People only if an owner or admin turns it on for them on Settings → Members, and then only names, teams, roles and dates: never rates, commitment, final pay or what the books paid anyone. Everyone else does not see the page, the Daily Brief tile, or the roster through the assistant.

How to use it

  1. Open People under Contacts in Books. Add people one at a time, or choose Import and upload your roster spreadsheet.
  2. On import, check the preview: each line shows whether it adds a person, updates one it recognised, or is skipped, and why. Month columns are ignored on purpose; the books hold them.
  3. Give each person the counterparty name used in the books (and other spellings they are paid under) so payments line up.
  4. Use the status filters for who is new or leaving, and the Terminations view for money still due.
  5. Open the Org chart view to see who reports to whom; change a manager from a card, or download the chart.
  6. Ask Regent: "who reports to Marty?", "how big is Josh's team?", "Jane now reports to Sam", or "mark Jane Doe termed 9/30".

Tips

  • A person who bills through a company: put the company in Billing entity and add it as another name so its payments count toward the person.
  • Hourly people need expected hours for a commitment to appear.
  • People with pay history cannot be removed; mark them terminated instead so their history stays attached.
