Business Inbox
Regent → Inbox is the business-wide mail view: stored incoming email, documents, conversations, reply drafts and recorded sent mail, including email received before Regent email handling was turned on. Choose the business first: each business has its own address, mail and settings.
Receive and find email
- Copy the address at the top of Inbox. If there is no address, choose Create inbox address.
- Send or forward messages to that address. Receiving and reading mail does not require turning on Regent or installing a routine. Your personal Gmail or Outlook history is not imported.
- All mail includes informational messages and emails whose document processing is pending or failed.
- Use Received, Drafts, Sent, Needs attention or Removed, and search by subject or contact. Search covers older mail too. Older and Newer page through the results.
- Choose a request type: Bills & invoices, Receipts & expenses, Payments, Reports & statements, Documents, Questions, Updates or General mail. Types are suggested from the subject, attachments and recognized documents. Use a message's menu to change its type, or Use suggested type to undo the change.
- Group by type brings similar requests together; Previous and Next move between grouped pages. Counts and filters cover the whole mailbox.
- Open an email to read its contents, preview PDFs side by side, and create the bills or purchase orders Regent recognized. When bills are waiting, Review bills at the top opens a focused queue for reviewing them in bulk.
- Each message shows one main action: Allow or Block for a new sender, Review bill for a bill waiting for review, Restore for removed mail, otherwise Reply. Everything else, including changing the type, is in the message's … menu.
Reply with a draft from Regent
Choose Reply on an email. The conversation opens with a draft Regent wrote from the message, its attachments and any recognized document, marked Suggested by Regent · review before sending. Edit it, or choose Approve and send to send the exact text you reviewed. Nothing leaves the mailbox until you approve it.
In a conversation with no draft, Suggest a reply asks for a new one; to write your own instead of the suggestion, choose Write a different reply. Regent never overwrites a draft you are working on. Its draft states only what the conversation shows: it won't say a bill was approved or paid, or promise a date or amount. Regent doesn't draft replies to senders you haven't allowed. If it can't write a draft, the conversation still opens and you can write your own.
New email creates an unsent draft to anyone. Sending needs Let Regent help with email turned on in Inbox settings. Each sent message shows sending, sent, delivered or a delivery problem; saving a draft never sends it.
Bills and follow-ups
Every PDF or image sent to the inbox is read for bills, purchase orders and receipts. In Inbox settings → Bill recognition & auto-post, auto-post creates a bill without review only when Regent's confidence meets your minimum, the vendor already has the set number of approved bills, the expense account matches how that vendor is usually coded, the amount is under any cap you set, and no duplicate is found. Under Follow-ups, set the days between reminders and how many to send; 0 turns them off. Follow-ups use the same review rules as replies.
Remove promotional email
In Inbox settings, turn on Remove promotional email and choose Save inbox settings. New newsletters and marketing that identify themselves as list mail go to Removed instead of your inbox. They don't raise a new sender notification and Regent doesn't read them.
Regent always keeps an email that has attachments, replies to one of your conversations, comes from someone you correspond with or have given access, or has a subject about an invoice, bill, receipt, payment, statement, order, tax or account security. Restore in Removed brings an email back; it is then read as normal and isn't removed again. Mail that arrived before you turned the setting on stays where it is.
Let senders know their email arrived
Turn on Let senders know it arrived in Inbox settings. Regent then sends a short confirmation naming the subject and attachments and saying the message is with your team. It never says a bill was approved, entered or paid, and it leaves the request open. Only new, authenticated messages from people get one: automated mail, quick thank-yous and conversations you've taken over are skipped, each email gets at most one, and each sender at most five an hour.
Who Regent reads mail from
Regent reads mail only from people you allow: your team, addresses on your vendors, customers and people, anyone you've emailed, and anyone who wrote before this started. Mail from someone new shows as New sender · not read yet, and you get one notification. Allow reads their held mail now; Block keeps it unread and out of the inbox. Inbox → People lists everyone who emails you, with Add as vendor, contractor, employee or customer.
