Client Operations
Regent workers can collect website reports, answer permitted requests from your contacts, request receipts and documents, and pick their work up again when clients respond. For receiving, finding and replying to email, promotional removal and receipt confirmations, see Business Inbox.
Set up your team
- In SOPs, choose Client service & report collection and confirm its open questions.
- Set the SOP live, generate the team, review its jobs and install it.
- For website reports, ask DayZero to set up browser access: DayZero staff turn on Can use a browser for the role and keep the portal login, and only they can start that role's runs.
- Open Inbox → Inbox settings, turn on Let Regent help with email, and choose Save inbox settings.
- Expand Trusted contacts & repeatable work. Add a contact's exact email address, choose the work they can request, and select the information they may receive. These report permissions cover the business, so select only information that contact may receive.
- For browser jobs, name the exact approved hosts, including sign-in and download hosts.
- Choose Review before send, Draft only, or explicitly enable automatic replies. You can also require confirmation before work starts.
Review correspondence
Incoming requests and worker drafts appear in Inbox. Open a conversation to review the recipient, body and attachments. Edit draft changes the draft; Approve and send sends the exact version you reviewed. A changed draft must be reviewed again. Take over pauses automatic replies on the conversation.
Unrecognized or unauthenticated requests remain for a person to review. Delivery failures and uncertain deliveries are shown rather than silently retried.
Receipts, documents and transaction questions
Ask Regent to request a receipt, a document or an explanation for a transaction. It can create the portal request and draft a linked email request for review. Replies and attachments join the original request. Receiving the response continues the worker's job once; the worker still checks the document's account, period and relevance before treating the work as complete.
Clients can respond by email or use Regent, To Do and Documents in their client portal. Their email conversations show only correspondence addressed to their signed-in email, never internal drafts or another contact's messages. The firm's existing client-assistant setting controls access to Regent chat.
Optional follow-ups have a configured interval and a maximum count. Zero turns them off. Follow-ups obey the original review policy and stop when the request is answered or a person takes over.
Learn and verify routines
- Make this a routine turns a completed run into a draft SOP with its corrections and repeatable steps.
- Read-only trial checks current data without sending emails, browsing or changing books; it identifies steps it could not test.
- Learn from completed work on an SOP proposes a reviewed amendment. Saving creates a revision; updating the installed team remains explicit.
- The SOP library suggests recurring manual work observed on three or more separate days, with links to the evidence.
- A completed worker attempt and a verified outcome are different. Explicit result checks re-read the books; Recheck outcome refreshes verification after client responses or approvals.
- Jobs can name dependencies. Installation publishes a coordinated workflow that waits for independent checks or human completion reviews. Schedule that workflow in Workflows to run the whole SOP together.
